Terms & Conditions of Trade Clarion Collection Hotel Valdemars Reservations/Confirmations All accommodation reservations must be confirmed on time of booking by
either a valid credit card deposit or full pre-payment. By issuing the
credit card details the Client is giving Clarion Collection Hotel
Valdemars ( below “the HOTEL” ) permission to charge the card, if a
reservation is cancelled or if an account is left unpaid. Once a
reservation has been confirmed, the HOTEL will confirm the reservation
back in writing via fax, letter or email. Bedroom Rates All rates quoted at time are subject to availability, seasons and time
of year, the HOTEL have the right to change and/or amend rates
depending on demand. Once a confirmation is made from the hotel no
additional rate changes of will apply. Check-In Check-in is from 14.00 on the day of arrival. With regard to group
bookings it is the responsibility of the Client to inform all of their
Guests of the check-in time. On check-in a credit card number will be
requested for each room as a safety deposit. Check-Out We ask that Guests vacate their room by 12.00 on the day of departure.
If you wish to extend your departure time up to 14.00 it is possible
for a supplement of 10Ls or until 18.00 for a supplement of 30Ls. Late
check-out is subject to availability on the morning of departure and
you may contact reception if you are interested. Children’s policy Children up to the age of 12 years stay for free in the hotel together
with a paying adult. Crib for children is free of charge. If an extra
bed for children is requested the rate is according to the rate list. Cancellations All group and FIT cancellations must be notified to the HOTEL in
writing by email or by fax. FITs must be cancelled by 18:00 at the
latest on the day prior to arrival for up to two rooms. Three rooms or
more must be cancelled latest 48 hours before arrival date. Groups must
be cancelled no later than 28 days prior to arrival date. If the group
booking is cancelled or the reported number of guests is reduced by
more than 33% later than 28 days prior to arrival, 70% of agreed
contracted bed and breakfast price for the number of guest short of the
number originally stipulated will be charged. For FITs and groups it is
provided the HOTEL has not been able to sell the rooms to other
clients. In the case of a “no show” the HOTEL will charge 100% of the
agreed contract rate including all pre-ordered meals, for the number of
guests originally stipulated. The HOTEL can charge up to three nights a
to late cancellation or a “no-show”. Last-minute-booking special:
Reservations for groups made less than 28days prior to arrival can be
cancelled up until 7days before the arrival date at no charge. Later
cancellations will be charged 100% Cancellation by the HOTEL The HOTEL shall have the right at any time (giving such notice as
possible to the Guest) to cancel the accommodation without recourse or
liability to the Guest for any loss, damage or changes caused by
circumstances outside its control including, without limitation, an
"Act of God", war or the threat of war, riot, civil strike, industrial
dispute, terrorist activity, natural or nuclear disasters, extreme
weather conditions or other event or circumstances which were unusual
and unforeseeable and the consequences of which could not have been
avoided even if all due care had been exercised. Health & Safety The Guests using the facilities at the HOTEL must comply with all the
regulations concerning licensing, fire, health and safety. Please
observe that the HOTEL is a 100% non-smoking hotel. Smoking is allowed
only outside at designated areas. The HOTEL does not offer any 100% non-allergic rooms. Please contact the hotel for more detailed information. Invoice The HOTEL does not invoice to private individuals For companies and
organizations the amount must exceed 300LVL. If Guests require settling
account through invoicing, individuals must present relationship to
company and adequate information for billing. Prepayment/Deposit For certain orders and arrangements the HOTEL holds the right to
request a down payment to be made in order to ensure service. Down
payment shall be received by the HOTEL in specified time and if any
delay or failure to do so, the HOTEL are not obligated to honor the
contents of the order. Extra Accounts Guests with reservations that are booked through an agent or other
outside party must settle all accounts for items not covered by the
voucher of the operator upon departure. In case of non-payment, the
representatives of the operator must make their best endeavors to
assist the hotel in collection of the money due. Credit Card The HOTEL only accepts the following valid credit cards, MasterCard,
Visa, Maestro and American Express. The credit card that is used to
guarantee your reservation must not expire before the arrival date. Foreign Currency The HOTEL does accept payments in LVL and EUR but does not exchange any
foreign currency. The HOTEL calculates the EUR currency exchange after
the official rate of Bank of Latvia. Cash Back The Hotel does not offer a cash back facility with any credit or debit cards. Data Protection Policy The Hotel is committed to protecting (i) the privacy of its Guests; and
(ii) the confidentiality of the information provided to it by Guests.
Your personal details will not be sold on or passed on to third parties. Complaints We attempt to deal with complaints as speedily as possible, complaints
must be addressed to a member of staff immediately and given sufficient
opportunity to rectify the situation to your satisfaction. If you are
still unsatisfied ask to speak to a manager who will address your
issue. If you are still unsatisfied, the Duty Manager will ask you to
fill out a complaint form (so that the complaint is documented), your
complaint will then be dealt with as soon as the next Senior Manager is
on duty. Accommodation The HOTEL reserves the right to use a hotel of the same or higher
category in the same city or area in the unlikely event of not being
able to accommodate the reservation. Booking Accuracy The HOTEL take every care to ensure that at the time of going to print,
the details in all our leaflets are accurate regarding the description
and information about facilities available or planned to be available.
Photographs are for general guidance only. There may be occasions where
facilities need to be withdrawn due to repair, renovation, development,
adverse weather conditions, changes in government legislation or codes
of practice or other occurrences outside our control. We reserve the
right to make such alterations without prior notice and we are unable
to accept any liability as a result thereof.
